About this position We are looking for a consultant to provide administrative assistance to the Division Chief, as well as support for strategic coordination and transversal follow-up of the Division's thematic agendas, contributing to articulation between teams and strengthening management mechanisms and internal organization. The ideal candidate should be self-motivated and a detail-oriented individual, have demonstrated capacity to provide managerial support, work in teams, be able to develop creative approaches to everyday challenges and have the ability to work well in a fast-paced environment, to multitask, maintain a focus on details, and have superb organizational abilities. You will work in the Social Protection and Labor Markets Division (SCL/SPL), belonging to the Social Sector. This division is responsible for promoting a comprehensive focus on social protection policies and labor markets, with the aim of improving resilience in the face of risks, boosting the growth of productivity, reducing labor informality and contributing to the reduction of poverty. What you’ll do Provide strategic executive support to the Division Chief, including administering properly his calendar, prioritizing commitments, coordinating high-level internal and external engagements, and ensuring alignment of the agenda with SPL priorities and IDB organizational practices. Manage day-to-day administrative and logistical tasks for the Division Chief, including scheduling meetings, preparing supporting documents, coordinating travel arrangements and business travel agendas, ensuring timely follow-up on action items and commitments. Articulate the organization and preparation of all logistical and documentation requirements for missions, conferences, and events, including processing travel authorizations and expense reports through Concur, coordinating visas, arranging domestic and international logistics, and managing post-travel follow-up. Organize logistics and services for internal and external meetings (events, BBLs, workshops, and training), including venue and conference room reservations, audiovisuals, catering services, translation and interpretation. Create letters of agreement, travel arrangements, lodging, expense reports; process travel authorizations for PECs and Guests; provide travel itineraries; process per diem payments; and prepare invitations, confirmations, and participant lists. Process payments for service invoices, letters of agreement as needed, create vendors and provide them administrative support with BPP internal systems. Draft, coordinate, and disseminate internal and external communications — including confidential correspondence — promoting information flow, knowledge-sharing, and collaboration. Support the strategic coordination that facilitates the action plans of the focal points, a structured articulation, continuous follow-up, prioritization of discussions, that allows progress in the strategic positioning of the SPL thematic agendas, contributing to the strengthening of the alignment between teams and internal organization. Facilitate the coordination of periodic meetings between Focal Points, thematic teams and division chiefs to ensure the alignment of priorities and share good practices. Support the preparation and structure of agendas, materials and inputs for different spaces for monitoring or socializing activities. Create support tools that facilitate internal organization mechanisms, as well as draft registration and systematic follow-up of PF action plans, determining decisions on discussions, closures and responsibilities. Coordinate periodic spaces for thematic knowledge exchange to share advances and good practices. Systematize learning and contribute to the consolidation of strategic inputs, reports, presentations, consolidation of data as required. Update continues per theme of the operational inventory of projects and TCs in progress on the SPL operational Dashboard for new operations.
