You have: Secondary education from an accredited educational institution, plus successful completion of two years’ business course recognized by the Agency. A minimum of four years’ clerical experience in procurement and logistics is required. English and Arabic are required at UN Level II for each skill. Setting and Reporting UNRWA is a United Nations agency established by the General Assembly in 1949 and is mandated to provide assistance and protection to a population of some 5.8 million registered Palestine refugees. Its mission is to help Palestine refugees in Jordan, Lebanon, Syria, West Bank and the Gaza Strip to achieve their full potential in human development, pending a just solution to their plight. UNRWA's services encompass education, health care, relief and social services, camp infrastructure and improvement, microfinance, and emergency assistance. The incumbent is responsible to the assigned Procurement Officer. Responsibilities In accordance with Agency policy and procedures, the incumbent: 1-Follows-up on procurement and contracting process including: * The processes of receipt of requirements; * Monitoring the accuracy of requisition details; * Consolidation of purchase requisitions and preparation of data in logical manner to facilitate the bidding process. 2- Maintains standard documents for correspondence relative to his/her work of assigned purchase orders submissions, receipts of acknowledgement, due dates and deliveries; 3- Updates the records of procurement requisitions; assists the supervisor in preparation of long or short-term contracts documentation (as applicable), and periodically contacts contractors to obtain their most updated information; 4- As requested initiates requests related to quality control reports and reports any discrepancies; 5- Assists the supervisor in the submission of RFQ, Tender, and RFP documents to the Suppliers; distributes the Purchase Orders copies to all concerned; maintains register for outstanding Purchase Orders, requisitions and follows up with the suppliers and or the fields as necessary; 6- Distributes materials as required; photocopy offers and distributes to end users; follows up on submissions and receipts, receives the samples and maintains records; prepares samples for inspection by the Sample Technical Evaluation Committee; appropriately store selected samples for further reference; 7- Drafts and types correspondence related to the above; maintains accurate records related to his/her function; 8- Performs other duties as may be assigned by the supervisor. Including but not limited to employment, independent contractor/freelance consultant, board member (corporate, academic, etc), expert group, lobby, public speaking/writing (article, book, blog, social media etc), teaching, conferences, training, press statement, voluntary work, political activity, fundraising/donation for non-UNRWA entity, running for public office, role in political party or orgs, owning business, work for gov./NGO/private company/charity, UNRWA partner/vendor, full/part-time, paid or not. A “yes” answer doesn’t necessarily lead to exclusion from future work at UNRWA, yet misrepresentation in providing accurate/complete info can lead to disqualification/termination of appointment, if hired.
