It plays an important role in international affairs through diplomacy, trade, development aid and working with global organizations. Abroad, the EU is represented through more than 140 diplomatic representations, known also as EU Delegations, which have a similar function to those of an embassy. The EU Delegation to Argentina works in close coordination with the Embassies and Consulates of the 27 EU Member States. We are a fully-fledged diplomatic mission and represent the European Union in dealings with the Argentinian government in areas that are part of the EU’s remit. We offer The post of Secretary (Local Agent Group 3) in the Delegation’s Politics, Press and Information Section. The team consists of 5 people and there are occasional atypical working hours. As a Secretary, the jobholder is responsible for performing a variety of administrative and secretarial support services contributing to the smooth and efficient running of the Section. The jobholder ensures the flow and management of information by setting priorities and organizing the day-to-day routine. MAIN DUTIES AND RESPONSIBILITIES SECRETARIAL SUPPORT Manage the correspondence, communication, workflows, organisation of meetings and ensure adequate follow-up. Brings to the management and other relevant colleagues attention complex, sensitive or priority issues and provides information and basic administrative guidance to other colleagues Arrange appointments and maintain the management and team calendar, receive visitors, place and screen telephone calls, manage functional mailboxes, direct queries to the appropriate colleagues Act as a contact point for routine administrative questions within the section and support the handling and distribution of incoming and outgoing correspondence in line with the applicable procedures Organise meetings (including, where relevant, high-level meetings), finalise agendas and invitations, ensure the production and distribution of documentation, take notes and prepare minutes of meetings, and follow up on required actions Coordinate mission arrangements (travel and hotel arrangements, appointments, expense management and protocol issues) for the management and, where required, other colleagues Proofread documents and edit texts for accuracy, grammar, punctuation and style, as well as for adherence to established standards for format Assist with data encoding in corporate IT systems Support in the protocol area during official visits Back-up for the Assistant Head of Delegation ADMINISTRATIVE SUPPORT Organise and facilitate the administrative work of the office, including contributing to the improvement of internal procedures and tracking systems for correspondence and documents. Verify that work is done in accordance with corporate standards and deadlines. Monitor work progress and brings cases of priority issues and matters of concern to the attention of the management and other colleagues Prepare briefing materials for the management and other colleagues, and draft responses to non-routine written enquiries, based on input provided by other relevant colleagues Follow up on the preparation by staff of reports, correspondence, briefing notes and other documents, by monitoring deadlines and ensuring proper transmission and filing. Perform general administrative tasks (e.g. checking leave and attendance records, arrangements for meetings and other events, basic budget follow-up, Management of the Head of Section’s representation expenses) and coordinate with other Sections to ensure smooth running and expedition of work within the Section Orients new colleagues to relevant administrative procedures, tools and practices Other tasks in compliance with the instructions of the hierarchy WORKING ENVIRONMENT WORKING CONDITIONS 37.5 working hours per week Occasional overtime outside of typical working hours (evening, weekend) Occasional travel for work missions Work is performed in an office setting and involves no specific or unusual physical requirements WORKING RELATIONSHIPS Plays a key role in the overall provision of administrative and secretarial support services to the management and other staff at different levels, including providing training and guidance and advising the management on administrative issues within their area of responsibility. Maintains an extensive range of contacts both within the Delegation as a whole and with other internal and external stakeholders. The place of work will be in the offices of the Delegation in Buenos Aires – Address: Carlos M. DELLA PAOLERA 261 Piso 15, C1001ADA with a team of 28 staff members.
