Setting and Reporting This post is located in the Meetings Support Section, Meetings and Publishing Division, of the Department for General Assembly and Conference Management (DGACM). The incumbent reports to the Team Lead of the Desktop Publishing Team. Responsibilities Within limits of delegated authority, the Desktop Publishing Assistant will be responsible for the following duties: • Participates, as a member of a team, in the production of official documentation, supplements and publications, by using digital publishing technologies in the appropriate language for production. • Incorporates changes as marked by reporters, revisers and editors, ensuring that the final version of the document conforms to, as the case may be, (a) the draft translation as to contents, and/or (b) the original language manuscript as to format and typography, in accordance with existing editorial guidelines. • Performs necessary formatting/layout corrections to formatted materials, alerting the responsible authority if obvious errors or discrepancies are found in the translated text. • Assists and replaces more senior Desktop Publishing Assistant, when needed. • Identifies and retrieves documents from the United Nations Official Documents System (ODS) and researches and verifies terminology on the Intranet. • Rotates in shifts as needed. • Depending on the needs of the service, availability for overtime is expected. • Assists with visualizations and updating information material such as web pages or brochures. • Performs other related work as required, Competencies • Professionalism Demonstrates professional competence and mastery of subject matter including advanced knowledge of Microsoft Office Suite (Word, Excel and Power Point), desktop publishing and graphic design software; knowledge of editorial and desktop publishing best practices; ability to handle multiple projects simultaneously; knowledge of standard industry production, printing and digital publishing processes and procedures; ability to apply good judgment in the context of assignments given; shows pride in work and in achievements; demonstrates professional competence and mastery of subject matter; is conscientious and efficient in meeting commitments, observing deadlines and achieving results; is motivated by professional rather than personal concerns; shows persistence when faced with difficult problems or challenges; remains calm in stressful situations; commitment to implementing the goal of gender equality by ensuring the equal participation and full involvement of women and men in all aspects of work. • Teamwork Works collaboratively with colleagues to achieve organizational goals; solicits input by genuinely valuing others' ideas and expertise; is willing to learn from others; places team agenda before personal agenda; supports and acts in accordance with final group decision, even when such decisions may not entirely reflect own position; shares credit for team accomplishments and accepts joint responsibility for team shortcomings. • Technological awareness Keeps abreast of available technology; understands applicability and limitations of technology to the work of the office; actively seeks to apply technology to appropriate tasks; shows willingness to learn new technology. Education High school diploma or equivalent. Studies in desktop publishing, proofreading or related area are desirable Job - Specific Qualification Not available. Work Experience A minimum of five (5) years of progressively responsible experience in digital publishing technologies, including draft typing, copy editing, proofreading, typographical layout or related area is required. Knowledge of digital publishing and design applications like Adobe InDesign is required. Experience with publication practices within the United Nations system or similar international organisation is desirable. Experience in multichannel publishing and/or content or workflow management tools is desirable. Experience in proofreading is desirable. Languages English and French are the working languages of the United Nations Secretariat. For this job opening, English and Russian are required.
