About this position We are looking for a dynamic, innovative and experienced Records Management Specialist. As Records Management Specialist, you will actively contribute to the modernization and execution of Records Management across the IDB Group. You will work in the Records Management Group, part of the Budget and Administrative Services Department within the Vice Presidency for Finance and Administration. The Records Management Group is responsible for the Records Management (RM) program at the IDB Group, which includes the establishment and oversight of the governance framework, the management of digital and physical records, the delivery of RM support and training to Business Units, the coordination of the RM function in the 26 country offices and offices in Europe and Asia, and the preservation and enrichment of the institution's memory. What you’ll do Lead RM process enhancements within and across Business Units, ensuring alignment with client needs, management expectations, and policy requirements. Coordinate projects that strengthen RM solutions and tools in close collaboration with key stakeholders, including IT. Manage initiatives that preserve and enrich the institutional memory of the IDB Group. Design and maintain digital records information architectures, including structure design, retention plan alignment, approval, and deployment. Monitor, evaluate, and report on RM performance, implementing corrective actions with Business Units as needed. Develop and update RM governance documents, policies, guidelines, and training materials, while identifying improvements based on market trends and standards. Provide RM support and training to IDB Group personnel and lead change management efforts to increase adoption. Appraise unclassified records or those eligible for destruction in accordance with applicable policies and procedures. What you'll need Education : Master’s degree in information management, RM, Archives Management or related disciplines, or other fields relevant to the responsibilities of the role. Experience : Between 4 and 10 of progressive professional experience, in Records or Information Management, preferably in an international organization or multicultural environment. Advanced knowledge and practical experience applying modern information, Records, and Archives management concepts, principles, and practices, with a focus on digital records and multimedia records. Experience in project management, change management, business analysis, and process optimization related to RM, including coordinating teams and supervising junior colleagues. Experience delivering RM training and user support. Experience with Microsoft 365, including SharePoint, artificial intelligence, and data analytics solutions; advanced proficiency in Microsoft Office. Excellent writing skills and extensive experience preparing and delivering communications and presentations are required. Languages : Proficiency in English, spoken and written, is required. Additional knowledge of Spanish is preferable. Requirements Citizenship : You are a citizen of one of our 48-member countries. Type of contract and duration International staff contract, 36 months initially, renewable upon mutual agreement.
