AI Application Assistant Details Work Location Remote or in Geneva, Switzerland Expected duration 6 MONTHS Duties and Responsibilities The United Nations Environment Programme (UNEP) is the leading global environmental authority that sets the global environmental agenda, promotes the coherent implementation of the environmental dimension of sustainable development within the United Nations system and serves as an authoritative advocate for the global environment. The overall objective of the UNEP’s Industry and Economy Division is to encourage decision makers in government, local authorities and industry to develop and adopt policies, strategies, practices and technologies that promote sustainable patterns of consumption and production, make efficient use of natural resources, ensure safe management of chemicals and contribute to making trade and environment policies mutually supportive. It promotes the development, use and transfer of policies, technologies, economic instruments, managerial practices and other tools that assist in environmentally sound decision making and the building of corresponding activities. The United Nations Environment Programme Finance Initiative (UNEP FI) is the strategic partnership between the United Nations and over 500 banks, insurers and investors. For over 34 years UNEP FI has been shaping and driving the international sustainable finance agenda, setting global standards and growing a global network of leading financial institutions. Through its work-streams and regional activities, peer learning, methodology development, training and research, UNEP FI promotes sustainable finance and helps the financial industry align with and contribute to the Paris Agreement and Sustainable Development Goals. Tasks The intern will work with the UNEP FI Administration Team and the position will contribute to support the UNEP FI Secretariat on the following tasks: 1) Assist the UNEP FI HR focal point in reviewing Consultant and Intern Terms of Reference to ensure they meet the required standards before submission to the Administrative Officer. Support the HR focal point in ensuring that the appropriate process is followed for applications submitted through INSPIRA for consultancies and internships. Assist in collating the required documentation for submission of Consultant and Intern requests to the Head of Branch or Head of Division for approval. 2) Assist in liaising with interns and consultants to help ensure they submit the required documentation for their onboarding and enrollment processes, including HR Minimasters, UMOJA banking forms, CDL cards, and other relevant requirements. 3) Support HR focal points in collating the required documentation for submission to the HR approving officer for contract processing. Assist in maintaining and updating HR files, both hard and electronic, ensuring that required documentation, signed forms, and approvals are properly filed. Support the respective focal points in compiling documentation required for consultant payment processing, as needed. 4) Assist in coordinating with consultants and team leads to support the timely recording and tracking of monthly deliverables and activities. Provide administrative support to the relevant focal points in consultant payroll-related processes in UMOJA, under supervision. 5) Support FI Administration with its invoicing processes by tracking invoices, maintaining relevant documentation, and assisting with follow-ups with member institutions, as required. 6) Take initiative in supporting the organization of intern meetings with the Head of Unit, internal weekly coaching sessions, and additional briefings, as required. 7) Undertake additional administrative duties, as required. These may include supporting the UNEP FI Travel focal point in reviewing Staff, Consultant, and Meeting Participant travel requests for completeness before submission to the Administrative Officer for approval. Assist in compiling and organizing documentation related to Travel Approvals, Travel Requests, Travel Expense Reports, and Mission Reports. The candidate should have good organizational and administrative skills, with an interest in and basic familiarity with Human Resources and administrative processes. Good research, communication, and writing skills in English, as well as motivation, attention to detail, and the ability to organize and manage tasks independently are required.
