The incumbent: Supervisor: The incumbent of this post is responsible to the Field Administration Officer (FAO), A16. Supervisees: The incumbent of this post provides direct and/or technical supervision to professional and/or general services staff member(s). Responsibilities 1- Plans and leads the comprehensive annual inspection process of assets and random checks of expendable, attractive or special items in all Field installations; develops the necessary reports in accordance with the Property Management Manual (PMM) and reports findings to the supervisor. 2- Analyzes property management and inspection processes in the Field in terms of efficiency and cost effectiveness and recommends to the supervisor improvements as may be required; contributes to the improvements of Field Property management and inspection policies, processes, and procedures. 3- Reviews and processes Survey Requests (SR) for properties which have been lost, stolen or damaged, whether by a staff member or other person, surplus, obsolete, unserviceable through fair wear and tear (Normal Use) or which is Beyond Economic Repair (BER). 4- Oversees investigations and resolves all queries relating to willfully damaged or stolen or missed property or any other cases related to Properties; ensures related reports are submitted, follow up actions initiated, and recommendations implemented. 5- Ensures that custodians’ signatures and equipment lists are maintained up to date and subjected to periodic comparisons; checks, validates and records information pertaining to properties and equipment; oversees and ensures the registration process of the newly acquired assets including the barcoding of the assets and the completion of the registration process to the level of individual custodian on the ERP solution; supervises and approves the relocation of assets on the related ERP solution. 6- Coordinates with Finance on approved SRs related to none-expendable property and updates the records accordingly; makes the necessary “Equipment Reconciliation” with Finance by the end of each year. 7- Reports to the supervisor any irregularities or conflicts between the PMM and other extant regulations, including new situations not addressed by the PMM and advises the supervisor on and proposes solutions to such cases. 8- Supervises the destruction of supplies properly authorized to be destroyed; prepares required Destruction Certificates; reports irregularities and/or discrepancies (to regulations/ rules/other issuances/ guidelines) to the supervisor. 9- Performs other duties as may be assigned by the supervisor. Other Information: - The incumbent may be required to work beyond the regular working hours; - The position entails frequent travel within the Field, which may include hardship locations.
